DEFINITION 

 

Administrator

An Administrator has access to manage existing Users and Applications and visibility of the Dashboards

Active Users

Users who have a status of Active can log in to Buttonwood and access applications on their Workspace

Actual Charges

 

 

Actual Charges are charges that have a charge date that is today or earlier

These represent charges that have already been incurred (charged by the application or infrastructure vendor)

Actual Spend

 

 

Actual Spend includes a sum of all charges that have a charge date of today or earlier

These represent total charges that have already been incurred (charged by the application vendor) for use of the application or infrastructure

Alert

 

You can set up Alerts to notify you know when a Budget spend threshold has been reached

You can change the Threshold at any time and decide how often you receive alert emails

Application

An application is Software delivered as a service and available from a users Buttonwood Workspace

Application Status

An application be Unconfigured, Enabled or Disabled

Application Tile

 

An application tile is the visual representation of the application on your Workspace

You can click on the tile to access the application

Assigned

 

 

The process of Assigning links a User to an Application, a Budget or a Cost Centre

Users are assigned to Applications

Users are assigned as Cost Centre Owners and Budget managers for an individual Cost Centre or Budget

Average Daily Spend

 

The sum of charges divided by the number of days within the Budget Period

This calculation includes Saturdays and Sundays

Budget

 

A Budget is a plan for spending for a particular period of time against a single Cost Centre.  Budgets are often set to cover a financial year

Budget Consumer

A Budget Consumer is someone who has been authorised to spend money from a particular Budget

Budget Manager

In addition to user functions relating to their Role, a Budget Manager can:

  • manage their own budgets
  • add consumers to their budget

Budget Utilisation

This is the percentage of the Budget that has been spent or is projected to be spent

Buttonwood

 

 

Buttonwood is the name of the Application that is used to access and manage SaaS and IaaS Budgets and Cost Centres

Buttonwood is also the name of the company that produces the Buttonwood application

This is the list of Applications available for your organisation to select from

Charges

 

Expenditure incurred against a Cost Centre.

SaaS Charges are based on the Cost Schedules for each SaaS application.

Cloud

Cloud computing is a model for enabling network access to a shared pool of computing resources

Corporate Applications

These are created and managed by the Organisation and can include your intranet, HR System and other commonly used or important websites

Cost Centre

 

A financial ‘bucket’ against which costs are recorded.

A Cost Centre is automatically created to capture SaaS charges

Cost Centre Owner

 

In addition to user functions relating to their Role, a Cost Centre Owner can:

  • manage their own cost centre
  • create budgets within their cost centre

Cost Schedule

 

 

Is the plan for how Charges will be applied for an application

SaaS Cost Schedules can be set up based on Fixed Cost, Fixed Number of Users or Per User

Currency

The currency that the amount is being shown in

Dashboard

Visualisation of financial information is provided in Buttonwood via Dashboards

Disabled

 

 

 

 

 

Disabled is an inactive status

Applications, SSO and API Integration can all be Disabled

  • Disabled Applications display on the User’s Workspace but cannot be accessed by Users
  • Disabling API Integration stops Buttonwood from managing user accounts outside of Buttonwood
  • Disabling SSO disallows Single Sign On access from the application tile within Buttonwood

Display Name

The Display Name is name of the Application that is displayed on tiles and in management lists

Drill Down

To move from summary information to detailed data by focusing on a particular element of the summary

Enabled

 

 

 

 

Enabled is an active status

Applications, SSO and API Integration can all be Enabled

  • Enabled Applications display on the User’s Workspace and are available for assigned Users to access
  • Enabling API Integration allows Buttonwood to manage user accounts outside of Buttonwood
  • Enabling SSO enables allows Single Sign On access from the application tile within Buttonwood

Fixed Cost

A Cost Schedule option based on a specific amount paid at a nominated frequency

Fixed Number of Users

A Cost Schedule option based on a specific amount paid for a block of Users at a nominated frequency

Forecast Charges

 

 

Forecast charges are charges that have a charge date in the future

These are charges that are expected to be incurred through continued use of the Application or Infrastructure and are based on current rates of usage 

Projected Spend

Projected spend includes the sum of all Charges that have a charge date in the future

These represent charges that are expected to be incurred through continued use of the Application or Infrastructure and are based on current rates of usage  

IaaS

Infrastructure as a Service is a form of Cloud computing that provides virtualized computing resources over the Internet

IaaS Budget

The Infrastructure as a Service Budget allows you to track expenditure against a set amount and time period

Inactive User

 

A User who has been inactivated cannot logon on to Buttonwood or access their application workspace

Charges may be incurred for inactive users when the user’s licence for software or infrastructure are continuing to operate

Infrastructure

IT infrastructure refers to the hardware, software, network resources and services required for the existence, operation and management of an enterprise IT environment

Integrated Application

 

An Integrated application is an application where Buttonwood manages the user account creation/deletion using the application's API. For example Google Apps or Office 365

Layout

Your layout is the arrangement of your tiles on your Application Workspace

Handles

 

 

Diagonal arrow icons are used on the Application Tiles in the Application Workspace for resizing tiles

My Workspace (Workspace)

This shows the Applications available for an individual user to access.  Applications are displayed as tiles that can be rearranged or customised to suit the end-user

Organisation

An organisation is a business or enterprise set up to interact with the Buttonwood Application

Organisation Administrator

 

 

 

 

An Organisation Administrator can: 

  • Access My Workspace
  • Access Budgets or Cost Centres where they have been set as the Owner or Manager
  • Manage existing Users and Applications
  • View the SaaS Dashboard
  • Create Users
  • Add Applications from the Catalog
  • Add Cost Centres and Budgets
  • Manage their Organisation’s details 

Organisation Application List

This is the list of Applications available for your organisation to allocate to users

Monthly Budget

The Monthly Budget is equal to the $ budget amount divided by the total Number of Months* in the budget period

* Number of Months in the budget period equals the number of days in period divided by 30 and then rounded up to nearest whole number

Per User

A Cost Schedule option based on a specific amount per User

Personal Applications

 

Any application can be added as a personal application.  This could include banking sites, social media or other regularly visited websites

Projected Spend

Actual and forecast spends are added together to determine a Projected Spend

SaaS

Software as a Service is software provided through the cloud under a service contract

SaaS Budget

The Software as a Service (SaaS) Cost Centre is automatically created to track expenditure on cloud software. SaaS Budgets can be set up to provide organisation-specific reporting windows within the SaaS Cost Centre

Sliding 12 month window

Spend for the last four months and a forecast for the next 8 months giving you a total twelve month picture

Spend

Charges added together under a single Budget or Cost Centre

SSO

Single Sign On provides access to multiple applications with a single logon

Standard User

 

 

 A standard user is able to access:

  • My Workspace
  • Cost Centres they are recorded as an Owner for and Budgets where they are recorded as a Manager

Threshold

 

 

 

A Threshold is a percentage spend point that has been specified for reporting purposes

Budget Thresholds are set as traffic lights and are used in dashboard displays and in email summaries

Alert Thresholds determine a point after which email alerts will be sent

Unconfigured

 

 

An Application has a status of unconfigured until the wizard process has been completed for the application

Unconfigured applications do not appear on any user’s Workspace until the Wizard is complete

User

An individual that exists in the Buttonwood Application is referred to as a user

Workspace
